2. Refund Policy for Custom Development Projects

Project Phases and Refunds

Discovery and Planning Phase (0-20% completion):

  • 80% refund if cancelled by client
  • Full refund if Ravi cannot deliver as promised
  • Refund processed within 15 business days

Development Phase (20-70% completion):

  • Partial refund based on work not completed
  • Client receives all completed work and source code
  • Refund calculated on milestone basis

Final Phase (70-100% completion):

  • No refund for completed work
  • Client receives all deliverables
  • Support period begins as agreed

3. Refund Policy for Ongoing Services

Monthly Retainers

  • Cancellation Notice: 30 days written notice required
  • Unused Hours: No refund for unused hours in current month
  • Advance Payments: Prorated refund for future months
  • Final Invoice: Payment due for services rendered

Cloud Hosting and Management

  • Monthly Plans: Cancel anytime, no refund for current month
  • Annual Plans: Prorated refund for unused months (minus 15% processing fee)
  • Setup Fees: Non-refundable after service activation
  • Data Backup: Client responsible for data backup before cancellation

4. Refund Policy for One-time Services

Before Service Delivery

  • 24 hours before: Full refund minus 10% processing fee
  • Less than 24 hours: 50% refund
  • No-show: No refund

After Service Delivery

  • Service Completed: No refund
  • Service Issues: Remedial work or partial refund
  • Client Dissatisfaction: Case-by-case review

5. Cancellation Procedures

How to Cancel

To cancel services with Ravi:

  • Send written notice to contact@theravi.shop
  • Include project/service details and reason for cancellation
  • Provide 30 days notice for ongoing services

Cancellation Processing

  • Acknowledgment: Within 2 business days
  • Work Stoppage: Immediate or as per notice period
  • Final Invoice: Within 7 business days
  • Asset Transfer: Completed work delivered within 14 days

6. Refund Processing

Refund Timeline

  • Review Process: 5-7 business days
  • Approval: 2-3 business days
  • Processing: 7-15 business days
  • Bank Transfer: 2-5 additional business days

Refund Methods

  • Bank transfer to original payment account
  • Credit to client account for future services
  • Check payment (for specific cases)
  • Digital wallet (UPI/PayTM) if originally paid via same method

7. Non-Refundable Items

The following are non-refundable:

  • Third-party Licenses: Software licenses, domain names, SSL certificates
  • Completed Work: Delivered and accepted work
  • Setup Fees: Initial setup and configuration fees
  • Consultation Hours: Time spent in meetings and consultations
  • Rush Fees: Expedited delivery charges
  • Travel Expenses: On-site visit expenses

8. Dispute Resolution

Internal Resolution

Ravi encourages resolving disputes through:

  • Direct communication with project manager
  • Escalation to senior management
  • Formal complaint process
  • Mediation services

External Resolution

If internal resolution fails:

  • Consumer court proceedings
  • Industry arbitration
  • Legal proceedings as last resort

9. Special Circumstances

Force Majeure

In case of unforeseen circumstances:

  • Natural disasters, pandemics, government actions
  • Services may be suspended without penalty
  • Refunds processed for undelivered work
  • Resume services when circumstances allow

Client Default

If client defaults on payments:

  • Services suspended after 15 days
  • Project terminated after 30 days
  • No refund for completed work
  • Legal action for outstanding amounts

10. Policy Updates

Ravi reserves the right to update this policy:

  • Changes effective for new contracts
  • Existing contracts governed by original terms
  • Notification of major changes via email
  • Updated policy posted on website
